How to View Document Version History

The Version history modal lists every semantic version of a document, marks which row is Current, and exposes actions for compliance review. You need document_management:view_version_history.

Open the history

In the document library, open Actions on the row and choose Version history. The table loads versions sorted from newest semver to oldest, with file name, size, state, and created date.

Preview and download

  • Open: For PDFs and common image types, ISMSVision can open a time-limited preview link in a new tab.
  • Download: Fetch the binary for any version that still has a stored file—useful when auditors ask for an exact historical artefact.

Restore an older baseline

Restore creates a new draft version based on a chosen semver, sets it as current, and preserves the full history. Use this when you need to roll forward from an older approved text without losing the trail of what happened in between.

When a row shows “File removed from storage”

Administrators may remove the stored bytes for a non-current version to save space while keeping the version row for the record. In that state, Open and Download are unavailable until a new file is associated through your process.
